The team didn’t see enough added value in AtTask to input their work, which perpetuated old habits of bad communication and time management. WorkOut User ConferenceAttending the AtTask WorkOut user conference in 2011 allowed PVH to meet one-on-one with consultants, attend training seminars and speak with other creative groups that use AtTask. This experience provided valuable discoveries on ways to better manage projects. Rediscovery / In-house ConsultationThe next step was to understand how their existing project management could be improved. In order to ensure that AtTask would be utilized to its full potential, it had to align with the specific goals of those using it. With the help of an AtTask consultant who stayed with the group for one work week, PVH interviewed individuals on ways they’ve been using the tool and what they needed from it to help create customized templates to best utilize AtTask for their specific needs. CustomizeFollowing the rediscovery phase, PVH’s AtTask consultant was able to take out-of-the-box functions and demonstrate how to use the tool in a way that mattered to the department. Rollout (Reimplementation)Once the team was finished customizing AtTask to their specific needs, they began a reimplementation process. For PVH, the fundamental element for success was effective communication. The AtTask consultant and PVH project managers helped users to understand the benefits and workings of the new system. Side-by-side training took place as required. Yearly Check UpsWith yearly check ups from an AtTask consultant in office, PVH will evolve their project & resource management processes and keep current with their dynamic environment. This will help safeguard that AtTask is effectively working for the needs of each user. ResultsThe process PVH used is straightforward, predictable and manageable. PVH Marketing now has full visibility of projects and can identify critical dates for seasonal spikes in activities. Their biggest struggle is getting very busy people to lean on AtTask to manage their projects when they have a long history of using checklists on paper and post-its. Project Managers use the task lists to identify deliverables by team members with specific deadlines. Notes related to projects are captured and visible to all. PVH looks forward to managing hours and budgets associated with projects as we mature with the tool. |
